Job Purpose
This role provides crucial administrative and logistical support for the implementation of UN Women programs and projects in Bolivia. The objective is to ensure the smooth functioning of projects and the effective achievement of strategic results and goals. The position contributes to the overall efficiency and effectiveness of UN Women's operations by managing administrative processes, supporting procurement, and coordinating with partner organizations, all while upholding UN Women's standards and procedures.
Responsibilities
Provide administrative and logistical support for program and project implementation, including coordinating official missions, managing travel arrangements, and preparing necessary documentation for meetings and events. Support the organization and execution of conferences, workshops, and other project-related activities. Assist in the management of office resources, including supplies, and maintain institutional asset and inventory records. Administer the institutional filing system and support staff with record-keeping tasks. Facilitate procurement processes for goods and services required for projects, supporting the development of procurement plans and contract management. Provide operational support for procurement requests and coordinate with partner organizations on administrative and financial matters, reviewing financial documentation and ensuring compliance.
Work Experience
A minimum of three years of progressively responsible experience in administration, finance, procurement, or logistical support is required. Experience with IT applications, Microsoft Office, and web-based management systems is necessary. Experience with modern web-based ERP systems, preferably Oracle Cloud, is desirable.
Skills
Administrative and accounting process management, handling confidential information, high-volume workload management, knowledge of administrative procedures, strong IT skills, proficiency in web-based management systems.
