Job Purpose
The Executive Assistant provides comprehensive executive administrative support to the UN Women Country Representative/Deputy Representative, ensuring confidentiality and efficient management of information and communications. This role is crucial for maintaining the smooth operation of the Country Representative's office, facilitating timely actions and adherence to deadlines. The position supports the Representative's schedule, travel, correspondence, and external relations, contributing to the effective functioning of UN Women's mandate in Colombia. By managing administrative processes and supporting communication, the Executive Assistant plays a vital part in advancing gender equality and women's empowerment initiatives within the country.
Responsibilities
The Executive Assistant manages the Country Representative’s calendar, schedules appointments, and arranges travel and accommodations. They handle incoming calls with discretion and maintain contact rosters. The role involves providing administrative support for meetings, events, and workshops, including preparing minutes and presentations. Effective communication and information management are key, involving reviewing and routing correspondence, responding to inquiries, drafting routine communications, and maintaining organized, confidential files. The position also supports external relations by facilitating interactions with partners, greeting visitors, and coordinating logistical arrangements for high-level visits. Additionally, the Executive Assistant contributes to knowledge management and sharing within the office and supports other administrative duties as required for efficient office functioning.
Work Experience
A minimum of 5 years of progressively responsible experience in administrative, secretarial, or programme support is required. Proficiency in Microsoft Office applications and web-based management systems is essential. Experience with a modern web-based ERP system, such as Oracle Cloud, is desirable.
