Job Purpose
The Executive and Administrative Assistant provides crucial support to the UN Women Country Office operations in Kyrgyzstan, ensuring high-quality and accurate administrative processes. Reporting to the Country Representative, this role is vital for consistent service delivery and resolving complex administrative issues, particularly in executive and HR support. The position requires close collaboration with Operations, Programme, and project teams to facilitate efficient office functioning and support the Country Representative's executive needs, contributing to the overall achievement of UN Women's mandate in the country.
Responsibilities
The Executive and Administrative Assistant manages general administration and operations, including organizing shipments, customs clearance, and preparing necessary documentation. They arrange travel, process visas, and provide administrative support for conferences and office maintenance. A key function is coordinating administrative Human Resources services, such as providing guidance on HR policies, maintaining personnel files, managing attendance and leave, and supporting contract extensions and benefits processing. The role also involves supporting recruitment processes for consultants, processing payments, and facilitating staff separation procedures. Additionally, the assistant provides high-level executive support to the Country Representative, managing their calendar, scheduling meetings, coordinating travel, preparing minutes, and handling correspondence. They also assist with external relations, protocol matters, and provide translation/interpretation services.
Work Experience
A minimum of 6 years of progressively responsible experience in administration, procurement, HR, or logistics support is required with secondary education. Alternatively, 3 years of experience is required with a Bachelor's degree. Proficiency in computer use and office software packages (MS Word, Excel) is essential. Experience with a modern web-based ERP system, such as Oracle Cloud, is desirable.
