Job Purpose
The Administrative Associate provides essential administrative and programmatic support to the Deputy Regional Director and programme teams at UN Women's Eastern and Southern Africa Regional Office (ESARO). This role ensures the smooth operation of administrative processes, including logistical arrangements for meetings, managing office supplies, and maintaining the Deputy Regional Director's schedule. The incumbent also supports programme implementation by assisting with work plans, budgets, and data compilation, and facilitates travel and procurement processes, ensuring compliance with UN Women policies. The position contributes to efficient service delivery and the achievement of UN Women's goals in gender equality and women's empowerment.
Responsibilities
The Administrative Associate is responsible for providing comprehensive administrative support to the Regional Office, including managing logistical, administrative, and financial arrangements for meetings, workshops, events, and missions. This involves monitoring office supplies, maintaining stock lists, and managing distribution. The role includes managing the Deputy Regional Director's calendar and appointments, and providing administrative support for premises maintenance. Programme support involves assisting in the preparation of work plans, budgets, and proposals, researching and compiling data, and preparing briefing materials. The incumbent will also create requisitions in Quantum, register good receipts, and assist with cost-recovery bills. Furthermore, the role coordinates and facilitates travel arrangements for staff, processes travel-related transactions, and organizes travel logistics while ensuring policy compliance. Procurement support includes reviewing processes, providing input to procurement plans, and assisting with tender procedures. The role also contributes to knowledge building by synthesizing lessons learned and best practices.
Work Experience
A minimum of 6 years of progressively responsible experience in administration or programme management/support is required. Experience with computer office software packages and supporting a team is essential. Experience with a modern web-based ERP system, such as Oracle Cloud, is desirable, as is experience within the UN system or an international organization.
