This role supports the unit's objectives by providing administrative and financial support for program implementation.
Job Purpose
The Programme Assistant supports the Leadership and Political Participation unit in Guatemala, ensuring efficient program and project implementation. The role provides crucial administrative and financial support, managing information flow, tracking commitments, and overseeing operational processes. By ensuring timely and quality support, the assistant contributes to the unit's effectiveness in strengthening women's participation and leadership in governance and decision-making processes, aligning with UN Women's strategic goals for gender equality and women's empowerment.
Responsibilities
Provide administrative and logistical support for program formulation and management, including work plans, budgets, and partner follow-up. Support the creation of projects in the system, budget revisions, and financial closure. Process payments for consultants and manage payment requests and settlements. Handle travel arrangements and expense settlements for program staff. Organize and coordinate document archiving and contact lists. Assist in the preparation of reports, presentations, and meeting minutes. Support the organization of meetings, workshops, and official missions. Facilitate resource mobilization by consolidating donor and program information. Provide administrative support for training sessions on program and operational matters.
Work Experience
A minimum of 5 years of experience in administrative and/or financial processes, including budget management, report preparation, payment processing, service contracting, and procurement. Experience in human rights and/or political participation is required. Experience with international cooperation or the UN system is desirable. Proficiency in computer use and office software (MS Word, Excel) is necessary, along with experience in web-based management systems.
