This Administrative Associate role supports the Division's Office Operations, ensuring high-quality administrative processes and contributing to consistent service delivery within the team.
Job Purpose
The Administrative Associate provides crucial support to the UN System Coordination Division's operations, ensuring the smooth functioning of administrative processes. This role is vital for maintaining accurate records, preparing essential documentation, and facilitating effective communication. By supporting budget, procurement, and HR functions, and assisting in the planning and coordination of events, the Associate directly contributes to the Division's ability to implement its strategy for gender equality and women's empowerment across the UN system.
Responsibilities
Provide comprehensive administrative support to the UN System Coordination Division, focusing on communications, by managing and updating internal filing systems and databases, and generating standard documentation. Assist in preparing presentation materials and ensuring the quality of outgoing documents through proofreading and editing. Respond to information requests and orient new staff or consultants. Support budget, procurement, and HR functions by monitoring expenditures, preparing budget-related documents, maintaining expenditure control, and assisting with procurement plans and recruitment processes. Coordinate and provide logistical support for events and meetings, including travel arrangements and preparation of necessary materials. Compile background information for reports and attend meetings to prepare minutes and monitor follow-up actions. Conduct basic research and analysis of statistical material to support reporting processes.
Work Experience
A minimum of six years of progressive administrative experience, preferably in a large international organization, is required. Proficiency in computer and office software packages (MS Word, Excel) is essential. Experience with ERP systems like Oracle Cloud, UN system administrative support, or executive/front office support within a UN office is desirable.
