Job Purpose
The Programme Assistant provides crucial administrative, financial, logistical, and programmatic support to the Humanitarian Programme in the UN Women Ukraine Country Office. This role ensures the smooth and efficient implementation of projects, focusing on the timely and transparent use of financial resources and service delivery in line with UN Women's regulations. The assistant promotes a client-oriented approach and collaborates closely with operations teams to resolve financial and information delivery issues, contributing to the overall effectiveness of the humanitarian response and gender equality initiatives in a challenging environment.
Responsibilities
The Programme Assistant is responsible for providing comprehensive administrative and logistical support to the Humanitarian Programme. This includes assisting with work plans, budgets, and proposals; supporting executing agencies with reporting; arranging travel and processing related documentation; and managing correspondence, reports, and meeting minutes. The role involves personnel administration support, maintaining calendars and filing systems, and updating transactions in the Quantum ERP system. Additionally, the assistant coordinates asset management, monitors office supplies, and supports procurement processes, including RFQs, ITBs, and RFPs. They also assist in managing vendor profiles and processing payments for consultants and contracts. Financial support includes creating projects in Quantum, preparing budget revisions, and processing payments. The role also supports resource mobilization by compiling donor information and facilitates knowledge building by assisting with training organization.
Work Experience
A minimum of 5 years of progressive experience in administration, finance, procurement, or logistics is required. Experience combining these disciplines is preferred. Proficiency with multiple office software packages is essential. Experience with ERP systems (preferably Oracle Cloud), supporting a team, and working within UN agencies are desirable.
