Job Purpose
The Administrative Assistant provides crucial programme, administrative, and logistical support to the UN Women Programme Team in Vietnam, ensuring the smooth implementation of projects and initiatives. This role is vital for the effective delivery of goods and services, managing procurement processes, facilitating travel arrangements for staff and consultants, and supporting the organization of meetings and events. By maintaining efficient administrative operations, the position directly contributes to UN Women's mission of advancing gender equality and empowering women within the country.
Responsibilities
Provide comprehensive administrative support for the Programme Unit's procurement of goods and services, including creating requisitions, registering receipts in the Quantum system, and managing various procurement methods (MCP/RFQ/RFP/DCT/non-PO). Support SSA contracting processes, including advertising and document follow-up. Process payments and financial transactions for projects, events, and monitoring and evaluation activities. Undertake logistical, administrative, and financial arrangements for meetings, workshops, events, and missions. Prepare travel arrangements for staff and non-staff personnel, including requisitions and claims. Draft meeting minutes, organize document filing, and provide backup for protocol and security administration, facilitating staff/visitor movements and managing communications. Support the organization of training sessions and contribute to synthesizing lessons learned for workflow improvements.
Work Experience
A minimum of 5 years of progressively responsible experience in administrative support is required. Proficiency in using multiple office software packages is essential. Experience with ERP systems, particularly Oracle Cloud, and experience supporting a team are desirable.
