Job Purpose
The Executive Assistant provides high-level, confidential executive and administrative support to the UN Women Country Representative's Office. This role is crucial for the effective management of the Representative’s agenda, correspondence, commitments, and protocol requirements. The incumbent ensures efficient information flow, timely follow-up on decisions, and serves as the front-office focal point, exercising sound judgment, discretion, and political sensitivity in prioritizing requests and managing confidential information.
Responsibilities
The Executive Assistant manages and strategically prioritizes the Country Representative’s calendar, prepares daily/weekly agenda briefs, and tracks key decisions and follow-up commitments. Responsibilities include arranging travel, screening calls, and maintaining contact rosters. The role also provides administrative and logistical support for meetings, missions, and high-level visits, preparing briefing packages and ensuring secure filing of confidential documents. Additionally, the incumbent facilitates communication flow, drafts routine correspondence, and supports external relations activities, including protocol matters and greeting visitors.
Work Experience
A minimum of 5 years of progressively responsible experience in administration, secretarial services, or program support is required. Experience providing executive-level administrative support, managing complex calendars, confidential correspondence, travel, and meeting logistics is essential. Proficiency in Microsoft Office and web-based management systems is required; experience with ERP systems like Oracle Cloud/Quantum is desirable.
