This role supports the project's operational and administrative needs.
Job Purpose
The Administrative Assistant provides crucial support to the UN Women office in Cuba, ensuring the efficient execution of administrative and financial processes for the #CerrandoBrechasGénero project. This role is vital for maintaining operational quality and accuracy, directly contributing to the project's success in empowering women economically through digital inclusion and fostering gender equality. The assistant collaborates closely with the project team and other UN Women units to ensure seamless service delivery and effective project implementation.
Responsibilities
Provide general administrative and logistical support, including organizing official travel, preparing travel authorizations, coordinating visas, and gathering DSA information. Offer administrative and logistical support for conferences, workshops, and retreats, managing invitations, materials, and operational coordination. Assist in managing shared office spaces and services, and maintain updated records of office assets. Support the registration of received goods and services in the Quantum system and ensure timely procurement processes for goods and services. Assist in HR processes such as vacancy postings and coordinating interview logistics. Provide administrative support for budget tracking, financial monitoring, and preparing FACE forms. Support partners in delivering activities and submitting financial reports. Contribute to knowledge management by assisting in organizing staff training and ensuring compliance with UN Women policies.
Work Experience
A minimum of 2 years of experience in administration, procurement, HR, or logistical support is required. If only secondary education is held, 3 additional years of experience are necessary. Experience with UN agencies or international cooperation is an asset. Proficiency in computer use and office software (MS Word, Excel) is required. Experience with ERP systems, preferably Oracle Cloud, is desirable.
