Job Purpose
The Protocol and Administrative Assistant plays a crucial role in supporting the UN Women Regional, Global, and Kenya Country Offices. The primary purpose is to provide efficient and accurate protocol services, including managing documentation, communication with the host country, and coordinating special arrangements for VIPs. Additionally, the role provides essential administrative support for daily operations, facilities management, workspace allocation, and procurement, ensuring the smooth and effective functioning of the office.
Responsibilities
The Protocol and Administrative Assistant is responsible for managing protocol-related data entry, record-keeping, and communication with the host country, ensuring the secure handling of sensitive documents like passports and visa applications. This includes coordinating notifications for staff arrivals/departures, processing diplomatic identity cards, re-entry passes, and visa extensions. The role also involves managing Kenyan driving licenses and vehicle registrations. Furthermore, the assistant provides administrative support for office facilities, workspace allocation, compound access, and procurement processes. They also assist with VAT exemptions, coordinate event logistics, and support asset verification exercises, ensuring compliance with UN Women rules and host country protocols.
Work Experience
A minimum of 5 years of progressive experience in administration, procurement, HR, or logistic support services is required. Proficiency in computer usage and office software packages, including online ERP systems, is essential. Proven experience in protocol matters or working with government partners is also a requirement.
