UN Women's UN Trust Fund to End Violence against Women (UN Trust Fund), established in 1996, is a global funding mechanism supporting civil society organizations to prevent and end violence against women and girls. The Operations and Administrative Analyst role supports the Trust Fund's operations, reporting to the Global Lead Capacity Development and Operations.
Job Purpose
The Operations and Administrative Analyst provides essential management support to the UN Trust Fund to End Violence against Women, focusing on human resources, procurement, and logistics for events. This role ensures high-quality and accurate administrative operations, contributing to the effective functioning of the Trust Fund. The analyst supports recruitment processes, HR actions, procurement planning and execution, event coordination, mission logistics, asset management, and ICT coordination. They also provide executive support to the Chief, ensuring smooth operations and compliance with UN Women policies and procedures.
Responsibilities
Provide comprehensive human resources administrative support, including managing the recruitment lifecycle, processing HR actions, maintaining staffing records and dashboards, and supporting performance management and learning plans. Facilitate the recruitment and payment of consultants for the Call for Proposals process and coordinate staff retreats. Offer operational support for the UN Trust Fund, contributing to the procurement plan, coordinating procurement processes, tracking contracts, and processing supplier requests. Provide logistical coordination for meetings, workshops, and events, managing timelines, budgets, vendors, and participant communications. Support mission and travel logistics for staff, including planning, documentation, and expense monitoring. Assist with asset management, ICT coordination, and security matters, and provide executive coordination and administrative support to the Chief, including presentation preparation and calendar management.
Work Experience
Requires at least one year of progressive experience at the national or international level in human resources, procurement, office management, operations support, or finance. Experience in administrative or operational support for projects/programmes is essential. Proficiency in computer environments with multiple office software packages and experience with web-based management systems and ERP systems are required. Experience in organizing international events and within the UN system is desirable.
