Organizational Context
UN Women's Regional Office for the Americas and the Caribbean, based in Panama, is establishing a program presence office. This role supports the implementation of the country program, working in close coordination with the Regional Office's administrative and finance staff, national partners, and UN agencies in the country.
Job Purpose
The Administrative Associate provides essential administrative, logistical, and financial support for the effective implementation of the UN Women country program in Panama. This role ensures smooth operations by managing administrative processes, supporting procurement, maintaining asset inventory, and assisting with financial tasks. The position contributes to the efficient delivery of program activities, including organizing events and managing knowledge sharing, all while adhering to UN Women's rules and procedures.
Responsibilities
Provide administrative and logistical support for project activities, including contract management and procurement processes for goods and services. Maintain the country program's asset inventory database and ensure timely reporting and maintenance. Manage project filing systems and databases, and support audit preparation and recommendation implementation. Organize and execute logistical aspects of conferences, workshops, and meetings, including preparing documentation and coordinating participant travel and reimbursements. Assist with financial tasks such as budget formulation, financial control, monitoring expenditures, and processing payments. Support knowledge management and communication efforts by facilitating the sharing of best practices and information related to program support.
Work Experience
A minimum of 6 years of demonstrated experience in administration and/or finance, preferably in supporting project implementation. Proficiency in Microsoft Word, Excel, and PowerPoint is required. Experience with project management software, UN system or international organizations is desirable.
