This role supports the localization of the WPS National Action Plan and enhances women's agency in climate action and disaster risk reduction.
Job Purpose
The Project Assistant provides essential administrative and logistical support for the implementation of UN Women's projects within the Women, Peace and Security, Humanitarian Action, and Disaster Risk Reduction portfolio in Georgia. Working under the guidance of the Country Representative and direct supervision of the WPS Programme Specialist, this role ensures the smooth execution of project activities. The assistant collaborates closely with the programme and operations teams, responsible parties, and partners to achieve planned results, contributing to UN Women's mission of advancing gender equality and women's empowerment in peacebuilding, humanitarian response, and climate action.
Responsibilities
The Project Assistant is responsible for providing comprehensive administrative and logistical support to UN Women's project formulation and management. This includes assisting in the preparation of work plans, budgets, and proposals, and tracking fund delivery. The role supports executing partners with routine delivery and financial reporting, and assists with program audits and recommendation implementation. Additionally, the assistant gathers data for documentation and prepares reports. Key financial support involves creating projects in the Quantum system, managing budget revisions, and processing payments. Logistical duties include arranging meetings, workshops, events, and missions, as well as making travel arrangements for the Programme Team. The role also involves drafting meeting minutes, preparing presentation materials, and maintaining organized filing systems and mailing lists. Support for resource mobilization and knowledge sharing activities, such as organizing trainings, is also a key function.
Work Experience
A minimum of 5 years of progressively responsible experience in administrative or programme management/support is required. This includes experience working with multiple office software packages. Experience with ERP systems (preferably Oracle Cloud), gender equality initiatives, project support coordination with NGOs or international organizations, budget preparation, and UN Women/UNDP financial rules is desirable.
