Job Purpose
The Administrative Assistant provides comprehensive executive, administrative, and operational support to ensure the efficient functioning of the Director’s Office and the Civil Society Division (CSD) at UN Women. This role is vital for supporting effective decision-making, coordination, and communication within CSD and with external stakeholders. The position ensures smooth information flow, timely action on priorities, and effective support to senior management engagements and divisional operations, working remotely according to New York time zone hours.
Responsibilities
Provide seamless executive and administrative support to the Director of the Civil Society Division, managing their calendar, scheduling meetings, and tracking action points. Coordinate divisional operations, including administrative processes, documentation, and record-keeping, maintaining organized filing systems. Support the organization of meetings, events, and logistics, including procurement processes. Coordinate travel arrangements and manage visa requests for the Director and colleagues. Ensure effective and confidential communication flow within the Division and with external partners, managing correspondence and responding to queries. Provide administrative support for consultant and intern recruitment processes and assist with knowledge management by maintaining records and facilitating access to information.
Work Experience
A minimum of 5 years of progressively responsible experience in administrative, executive, or operational support functions, preferably within the UN system or an international organization, is required. Experience in managing senior-level calendars, meeting logistics, administrative workflows, and using modern ERP systems (like Oracle Cloud) and office software packages is essential. Experience supporting senior management offices within an international organization is desirable.
