Job Purpose
The Admin Assistant Interns will provide crucial support to the UN Women Malawi Country Office by digitizing historical administrative and financial records and assisting with an ongoing office space reorganization. This role is vital for improving records management, enhancing document accessibility, optimizing office space, and contributing to overall operational efficiency. The internship offers a practical learning experience in records management, administrative support, and UN operational processes, fostering professional development in a multicultural environment.
Responsibilities
Support the scanning and digitization of manual financial vouchers and supporting documents. Ensure scanned documents are clear, complete, and properly labeled according to filing protocols. Assist in organizing and categorizing digital files within the designated document management system. Support the indexing and archiving of both physical and electronic records for easy retrieval and compliance. Identify and flag incomplete or missing documentation. Provide general administrative support, including filing, document handling, and basic office coordination. Assist in sorting, labeling, and relocating files, equipment, and supplies during office reorganization. Support inventory checks and basic asset tagging. Ensure adherence to confidentiality and data protection standards. Maintain accuracy and consistency in document naming and filing. Follow established Standard Operating Procedures for records management and administrative processes.
