Organizational Context
UN Women's Liaison Office to the African Union (AU) and UNECA strategically engages with continental and regional bodies to advance Gender Equality and Women’s Empowerment (GEWE). The office supports the AU Commission, particularly the Women, Gender and Youth Directorate, and collaborates across UN agencies and partners to mainstream gender in all frameworks. This role supports the Special Representative to the AU and UNECA, ensuring effective office operations and coordination.
Job Purpose
The Executive and Administrative Associate supports the operations of the UN Women Liaison Office to the AU and UNECA by performing a variety of standard administrative processes with a focus on high quality and accuracy. This role promotes a client, quality, and results-oriented approach, working closely with Operations, Programme, and project teams to ensure consistent service delivery and resolve complex administrative issues. The Associate provides crucial executive support to the Special Representative, managing their schedule, travel, and communications, and ensures the smooth functioning of the office through efficient administrative, operational, and communication support.
Responsibilities
Provide comprehensive executive support to the Special Representative, including managing calendars, scheduling appointments, arranging travel, and handling correspondence with tact and discretion. Offer administrative and operational support to the Liaison Office, managing logistical, administrative, and financial arrangements for travel, meetings, and events. Prepare briefing materials, compile background documents, and organize meetings, taking minutes and following up on action points. Initiate and support procurement processes, assist in contract and vendor management, and provide administrative and logistical support for programme activities. Facilitate effective communication and information management, maintaining organized hard and electronic files, and support external relations activities, including protocol matters and visitor coordination.
Work Experience
Requires at least 6 years of progressively responsible experience in administrative, secretarial, or programme support. Experience working with International Organizations, such as UN agencies at the country or regional level, is mandatory. Proficiency in computer applications like Microsoft Office and web-based management systems is also required. Experience with an ERP system, preferably Oracle Cloud, is desirable.
