Team Assistant
Organizational Context
The Economic and Social Commission for Western Asia (ESCWA), part of the UN Secretariat, supports 21 Arab member states in Western Asia and North Africa. It fosters policy harmonization, coordination, and knowledge sharing. This role is within Cluster 6: Governance and Conflict Prevention, focusing on public administration reform and supporting a project for Lebanon's public sector transformation. The Team Assistant reports to a Project Manager/Regional Advisor.
Job Purpose
The Team Assistant provides essential administrative, logistical, documentation, and project support to ESCWA's Cluster 6, which focuses on governance and conflict prevention in the Arab region. This role is crucial for advancing public administration reform initiatives, particularly supporting the "Reinventing Lebanon’s Public Sector 2030" project. Responsibilities include managing correspondence, organizing meetings, maintaining records, preparing reports, and coordinating with national and UN partners. The position contributes to building capacity for more just and inclusive societies by ensuring the smooth operation of reform projects and facilitating effective communication and collaboration among stakeholders. The role supports the development of reform blueprints, benchmarking, and validation workshops, directly impacting the successful implementation of governance initiatives.
Responsibilities
The Team Assistant performs a broad range of office support, administrative, and research functions. This includes managing correspondence, producing complex documents and reports, and monitoring processes to ensure compliance. The role involves researching and compiling information for reports and meetings, generating statistical reports, and proofreading documents. Key duties include providing secretarial and logistical support for meetings and conferences, assisting with website maintenance and presentation material preparation, and managing calendars and schedules. The position also handles data entry, processes mail and documents, updates distribution lists, and coordinates logistics such as printing, translation, and shipping. General administrative tasks, including processing requisitions, purchase orders, and travel requests, are also required, along with maintaining files and databases and providing basic IT support.
Work Experience
A minimum of three years of experience in general office support or a related field is required. One year of experience in data analytics and research or a related area is desirable.
