Security Intern
Organizational Context
This internship is within the Pass and ID Team of the Security and Safety Services (SSS) at the United Nations Office in Vienna (UNOV). The role provides administrative and operational support to the Pass Office, contributing to the overall work of the Security and Safety Service. The internship is for six months, full-time, and unpaid.
Job Purpose
The purpose of this internship is to provide comprehensive administrative and operational support to the Pass Office within the Security and Safety Services of the United Nations Office in Vienna. The intern will assist in critical functions such as registering legitimation cards, preparing identification documents, and managing access card issuance for events. This role contributes to maintaining accurate personnel records, ensuring data integrity, and supporting the efficient operation of the Pass Office. The intern will gain practical experience in security administration, document management, and inter-agency coordination within an international organization, supporting the Security and Safety Service's mandate.
Responsibilities
The intern will provide administrative and operational support to the Pass Office. Key duties include registering legitimation cards in the internal management system, preparing photographs for staff and dependents for various identification documents, and assisting in the pre-printing of access cards for meetings and conferences. The role involves reviewing applications for accuracy against internal databases, distributing official documents while maintaining records, and updating personnel records based on application data. Additionally, the intern will support inventory management for the Pass Office, assist in organizing office supplies, and contribute to the preparation and coordination of a quarterly newsletter using platforms like Microsoft SharePoint or Canva. Other administrative and operational tasks as assigned by the Pass Office are also part of the responsibilities.
Work Experience
Professional work experience is not required for this internship. However, applicants must be students in the final year of a bachelor's, master's, or Ph.D. program, or have recently completed such a program. A field of study relevant to the internship is essential.
