This Programme Management Assistant position is within the Human Rights Service of the United Nations Assistance Mission in Afghanistan (UNAMA), based in the Faizabad Provincial Office. The role operates under the guidance of a Human Rights Officer/Team Leader in Mazar-e-Sharif, contributing to human rights efforts in the North-Eastern region.

Job Purpose

The Programme Management Assistant provides essential general office and administrative support for human rights initiatives within UNAMA. This includes managing correspondence, maintaining electronic records, and handling routine administrative tasks. The role is crucial for coordinating programme and project planning, monitoring implementation status, and preparing necessary documentation. It involves researching and compiling background materials, translating documents, and maintaining project files and databases. The position supports the preparation of project documents, budget tracking, and drafting status reports, ensuring smooth administrative coordination and logistical support for awareness-raising activities, meetings, and workshops.

Responsibilities

Provide general office assistance, including logging and routing correspondence, and maintaining electronic filing systems. Handle routine administrative tasks such as attendance records and telephone billing. Organize and coordinate programme/project planning and preparation for human rights initiatives, including awareness-raising sessions, meetings, and workshops. Monitor project implementation status and documentation for approval. Research and compile background materials and reference information for reports, work plans, and briefings. Track follow-up actions. Translate documents and interpret at meetings as required. Maintain team files and databases. Compile, summarize, and present data on programmes/projects. Prepare project documents, including cost plans and budgets, ensuring compliance. Compile and enter project delivery data, drafting status reports and identifying issues. Assist with budget-related correspondence and prepare periodic reports, briefing notes, and summaries. Support data collection, analysis, and presentation for information sharing and decision-making. Serve as a focal point for administrative coordination of programme/project activities, liaising with various units. Provide secretarial, administrative, and logistical support for events. Perform other assigned duties.

Work Experience

Requires three or more years of experience in general office support, programme/project management assistance, or a related field. One year of experience is sufficient with a first-level university degree. Experience with Microsoft Office, administrative functions (budget, database management, filing), and handling confidential information is essential. Experience in research, data compilation, and organizing meetings is desirable.
