Organizational Context

The International Trade Centre (ITC) aims to transform trade and change lives by enabling trade-led economic development, particularly in the Global South. This role is within the Division of Sustainable and Inclusive Trade (DSIT) and the Women, Youth, and Vulnerable Communities (WYVC) section, which focuses on making international trade more inclusive and ensuring marginalized populations benefit from development.

Job Purpose

The Programme Assistant will support the Head of Programme in coordinating and preparing medium-sized, complex programme/project initiatives. This involves monitoring proposals, reviewing project documents and budgets for compliance, and liaising with various units to manage administrative aspects of implementation. The role also includes compiling data, drafting reports on project delivery, preparing correspondence, and providing general office assistance. Additionally, the incumbent will assist with data analysis, presentations, and updating information materials, contributing to the effective execution of the WYVC section's objectives to promote inclusive trade and development.

Responsibilities

Assist in the coordination of programme and project planning and preparation for complex initiatives. Monitor project proposals and ensure timely receipt of documentation for approval. Review project documents, including cost plans and budgets, for completeness and compliance with procedures. Verify fund availability and ensure correct entry into the budget system. Act as a liaison for administrative coordination of programme implementation, processing actions such as personnel recruitment, travel, payments, and procurement. Compile and summarize project delivery data, drafting status reports and identifying potential issues. Draft correspondence on budget matters and prepare periodic reports, briefing notes, and statistical summaries. Provide general office support, manage correspondence, maintain files, and organize meetings. Offer guidance and training to junior staff. Assist with data collection, analysis, presentations, and updating information materials like web pages.

Work Experience

A minimum of five years of experience in programme or project administration, technical cooperation, or a related area is required. This can be reduced to three years for candidates with a first-level university degree or higher. Experience within the UN common system and with ERP systems like UMOJA is desirable.
