Organizational Context

The International Trade Centre (ITC) aims to transform trade and change lives by enabling trade-led economic development, particularly in the Global South. This role is situated within the Division of Sustainable and Inclusive Trade (DSIT) and the Women, Youth, and Vulnerable Communities (WYVC) section, supporting ITC's commitment to gender equality and empowering women through trade initiatives like SheTrades.

Job Purpose

The Team Assistant provides essential office support and administrative functions within the Division of Sustainable and Inclusive Trade (DSIT), specifically supporting the Women, Youth, and Vulnerable Communities (WYVC) section and the SheTrades Initiative. The role involves managing correspondence, documents, and schedules, researching and compiling information, and generating reports. The incumbent will ensure smooth operations by handling inquiries, supporting meetings, maintaining databases and files, and assisting with presentations and website updates. This position is crucial for the efficient functioning of the WYVC section and contributes to ITC's mission of empowering small businesses and fostering inclusive economic development, with a particular focus on women's economic empowerment through trade.

Responsibilities

The Team Assistant performs a broad range of office support and administrative duties. This includes drafting and responding to routine correspondence, producing complex documents, and managing processes and schedules. The role involves researching and organizing information for reports and meetings, generating statistical reports, and proofreading documents. Key tasks include screening calls and visitors, providing secretarial and logistical support for meetings and conferences, and assisting with website maintenance and presentation material preparation. The incumbent will manage calendars, perform data entry, process mail, update distribution lists, and coordinate logistics such as printing, translation, and shipments. General administrative tasks include managing leave records, event arrangements, reservations, and processing administrative requests like requisitions and travel documents. Maintaining files and databases, providing basic software support, and guiding less experienced staff are also core responsibilities. The role further supports data collection, analysis, and presentation for information sharing and decision-making.

Work Experience

A minimum of three years of general office support or related experience is required. This is reduced to one year for candidates with a university degree. Experience within the UN common system, using an ERP system (like UMOJA), and in logistical support for events are desirable.
