Organizational Context
The Economic Commission for Latin America and the Caribbean (ECLAC), a regional commission of the United Nations, contributes to the economic and social development of the region. This Team Assistant position is within the Human Resources Section of the Division of Administration, reporting to the Associate Staff Development Officer.
Job Purpose
The Team Assistant provides comprehensive office support and administrative functions within the Human Resources Section. This role is crucial for ensuring the smooth operation of the unit by managing correspondence, documents, schedules, and information resources. The position supports the Associate Staff Development Officer by handling administrative tasks, preparing materials, and maintaining databases, contributing to the overall efficiency and effectiveness of the section's activities in supporting the ECLAC's mission.
Responsibilities
Perform a wide range of office support and administrative functions, including drafting correspondence and producing complex documents. Monitor processes and schedules, verifying document accuracy and compliance. Research, compile, and organize information for reports and meetings. Generate statistical reports and proofread/edit documents for accuracy and style. Screen calls and visitors, respond to inquiries, and provide secretarial and logistics support for meetings. Assist with website maintenance, presentation material preparation, and calendar management. Perform data entry and extraction, process mail, and maintain distribution lists. Coordinate printing, translation, and shipment arrangements. Handle general administrative tasks such as leave recording, meeting arrangements, and processing administrative requests. Maintain files and databases, and provide basic software/equipment support. Assist in data collection, analysis, and visualization for reporting and decision-making.
Work Experience
A minimum of two years of general office support or related experience is required. This requirement is reduced to zero years for candidates with a first-level university degree or higher. Experience with ERP systems (e.g., PeopleSoft, SAP) and data analytics is desirable.
