Job Purpose
This role supports the Procurement and Logistics Department by ensuring the accurate and efficient follow-up of procurement and contracting processes. The incumbent will monitor requisition details, consolidate purchase requisitions, and prepare data to facilitate bidding. Key responsibilities include maintaining correspondence, updating procurement records, assisting with contract documentation, and initiating quality control reports. The position also involves supporting the submission of RFQ, Tender, and RFP documents, distributing purchase orders, and following up on deliveries and supplier submissions. The role requires meticulous record-keeping and drafting of correspondence related to procurement activities, contributing to the smooth operation of the department.
Responsibilities
The Procurement Assistant is responsible for following up on procurement and contracting processes, including receiving requirements and monitoring requisition accuracy. This involves consolidating purchase requisitions and preparing data for the bidding process. The role includes maintaining correspondence related to purchase orders, acknowledgements, due dates, and deliveries. Updating procurement requisition records and assisting the supervisor with contract documentation are key duties. The incumbent will also initiate quality control reports, report discrepancies, and support the submission of RFQ, Tender, and RFP documents to suppliers. Distributing purchase orders, maintaining a register of outstanding orders, and following up with suppliers are essential. Additionally, the role involves distributing materials, photocopying offers, managing samples for inspection, and maintaining accurate records. Drafting and typing correspondence and performing other assigned duties are also part of the responsibilities.
Work Experience
A minimum of four years of clerical experience in procurement and logistics is required. Applicants must also indicate current involvement in outside activities, providing complete and accurate information.
