This role reports to the Senior Human Resources Officer within the International Personnel Services Section.
Job Purpose
This role is responsible for managing the employment lifecycle for international personnel, ensuring timely and accurate processing of all related documentation and data. The incumbent will prepare and distribute employment documents, manage client inquiries during onboarding and separation, and maintain official status files and digital records. A key function includes supporting payroll and ERP systems, ensuring accurate and timely salary disbursements, and resolving related issues. The position also involves generating international personnel data and statistics for reporting, monitoring performance management systems, and providing comprehensive client services throughout the employee journey. Additionally, the role manages attendance and leave records, acting as a backup for colleagues and performing other assigned duties to support the Human Resources department.
Responsibilities
Manage the end-to-end employment lifecycle for international staff, including preparing, processing, and distributing employment documents such as offers, appointments, contract extensions, promotions, transfers, and separation letters. Maintain official status files and digital records on SharePoint, ensuring accuracy and completeness. Administer payroll and ERP-related matters, including data entry into the HRM and payroll system (REACH) to meet deadlines and ensure accurate salary disbursement. Coordinate the resolution of payroll and ERP issues. Prepare and distribute international personnel data, statistics, and management information for audit, management, and donor reporting requirements. Monitor ePERs completion rates and compliance for international staff, maintaining accurate data in the ePER system and providing monthly reports. Provide client services to designated staff and offices throughout their employment, coordinating with various departments and external agencies. Administer attendance and leave records, update records, and provide reports for year-end closure and financial liability reporting. Act as a backup for colleagues as needed, ensuring proper handover of duties.
Work Experience
A minimum of four years of progressively responsible experience in personnel management is required. This experience should include entitlements administration, servicing in a governmental, international, or large commercial organization, and client services. A university degree in a relevant field is also required.
