Organizational Context
The Administration and Conference Management Division (ACMD) in Addis Ababa provides essential administrative, financial, and conference support. Within ACMD, the Finance and Budget Section (FBS) manages financial operations, budgetary oversight, and service delivery through specialized units. This internship is situated within the FBS, contributing to its service automation initiatives.
Job Purpose
This internship aims to support the Finance and Budget Section (FBS) in its service automation efforts, focusing on survey automation and the development of digital tools. The intern will gain practical experience in service improvement, data collection, process documentation, and reporting. By assisting with the design, testing, and implementation of automated tools and workflows, the intern will contribute to enhancing the efficiency and effectiveness of FBS operations across its various units, including accounting, trust funds, payroll, treasury, and budget management.
Responsibilities
Assist in the design, testing, and updating of automated surveys and forms for FBS service needs. Support the collection, organization, and analysis of survey responses and service data. Help develop or improve trackers, dashboards, templates, and other tools for FBS units. Map and document workflows across the Account Unit, Trust Fund Unit, Payroll and Disbursement Unit, Treasury Unit, and Budget Unit. Prepare reports, summaries, presentations, and briefing materials based on collected data. Review existing manual processes to identify areas for automation and efficiency improvements. Maintain records and organize information related to finance, budget, and service delivery. Coordinate and follow up with FBS units on service automation requirements. Assist with testing, quality checks, and user feedback collection for automated tools.
Work Experience
Professional work experience is not required for this internship. However, applicants should demonstrate an interest and/or exposure to digital tools, automation, or process improvement through academic coursework, university projects, personal learning, or other experiences. Examples of using tools such as Microsoft Excel, Microsoft Forms, SharePoint, Power Automate, or Power BI are considered desirable.
