Organizational Context
The UN Resident Coordinator Offices (UN RCO) are integral to the UN's global reform, supporting countries in achieving development priorities and the Sustainable Development Goals. This position is within the UN RCO in Banjul, Gambia, operating under the leadership of an empowered UN Resident Coordinator. The Executive Assistant plays a crucial role in ensuring the efficient functioning of the Resident Coordinator's Front-Office.
Job Purpose
The Executive Assistant is responsible for ensuring the effective and efficient operation of the Resident Coordinator's Front-Office. This involves comprehensive management of the Resident Coordinator's schedule, logistical requirements, and protocol procedures. The role is critical in managing information flow and ensuring timely follow-up on deadlines and commitments. The position supports the UN's broader mission to deliver on the 2030 Agenda and Sustainable Development Goals by facilitating the Resident Coordinator's work in supporting national development priorities. The role requires maintaining high standards of confidentiality and professionalism in all interactions and administrative tasks.
Responsibilities
Key responsibilities include managing the Resident Coordinator's calendar, arranging appointments, and providing protocol coverage for events and missions. This involves coordinating high-quality briefing materials, drafting correspondence, and managing travel arrangements, including flight bookings and follow-up on trip reports. The role also entails maintaining contact lists of high-level partners and assisting in the organization of official events. Communication support involves managing the filing system, screening calls and correspondence, and coordinating meetings, including UNCT meetings. The Executive Assistant will also provide secretariat and administrative support for UN Days and public events. General administration includes acting as an alternate for the Administrative Assistant, supporting daily administrative tasks, and assisting with data collection, analysis, and presentation for reporting and decision-making. Support may also extend to documentation, visas, and travel arrangements for the Resident Coordinator.
Work Experience
A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, or human resources is required. This includes experience in front office management and providing senior executive/administrative support within the UN system, international organizations, or embassies. One year of experience in data analytics is also required. The minimum experience requirement is reduced by two years for candidates with a first-level university degree.
