Organizational Context
The Department of Safety and Security (UNDSS) globally leads, supports, and oversees the UN security management system. It enables safe and effective UN program delivery in challenging environments. This role is within the Division of Headquarters Safety and Security (DHSSS) in New York, reporting to the Director. The DHSSS coordinates Security and Safety Services across headquarters locations.
Job Purpose
The Administrative Officer serves as a special assistant to the Director of DHSSS, providing strategic executive support. This includes coordinating external engagements, managing Member State relationships, and handling protocol matters. The role is also the Division's focal point for security-related protocol arrangements for major UN Headquarters events, such as the General Assembly. The position contributes to the UN's mission of enabling program activities through trusted security leadership and solutions, ultimately benefiting global peace, security, human rights, and the Sustainable Development Goals.
Responsibilities
Responsibilities encompass Human Resources Management, including coordinating recruitment, placement, performance appraisals, and ensuring adherence to UN rules. In Budget and Finance, the role leads work program preparation and implementation, monitors budgets, and develops financial management controls. General Administration duties include overseeing procurement, billing, travel programs, vendor contracts, and office technology needs. The officer will also analyze data for planning and decision-making, serve as the focal point for business continuity planning, and perform other related duties as required.
Work Experience
A minimum of five years of progressive experience in administration, finance, accounting, or human resources management is required. Desirable experience includes two years in data analytics, administrative support to security organizations at headquarters, and managing external conferences/events for security entities.
