Organizational Context
The United Nations Mine Action Service (UNMAS), part of the Department of Peace Operations, operates under UN legislative mandates to eliminate threats from mines and explosive remnants of war. Established in 1997, UNMAS coordinates UN mine action and leads operational responses. This Programme Management Assistant role is within the IED Threat Mitigation Advisory Team in Nairobi, reporting to the Chief of Section.
Job Purpose
The Programme Management Assistant supports the coordination and administration of UNMAS programmes and projects, focusing on Improvised Explosive Device (IED) threat mitigation. This role involves assisting in planning, monitoring project proposals, and ensuring compliance with procedures. The incumbent will compile and present data, review project documents and budgets, and track expenditures. A key function is serving as a liaison for administrative coordination, facilitating activities such as travel, workshops, recruitment, payments, and procurement. The role also involves drafting reports, managing correspondence, maintaining records, and providing general office support, contributing to the effective implementation of UNMAS initiatives.
Responsibilities
Assists in coordinating programme and project planning, monitoring proposals, and ensuring documentation compliance. Compiles and presents programme/project data. Reviews project documents, cost plans, and budgets for accuracy and adherence to rules, supporting budget monitoring and expenditure forecasting. Reviews budget revisions, verifies fund availability, and monitors expenditures against approved budgets. Acts as a focal point for administrative coordination, liaising with various units for travel, workshops, recruitment, payments, procurement, and asset management. Compiles project delivery data, drafts status reports, identifies risks, and flags issues promptly. Drafts budget-related correspondence and prepares periodic reports, briefing notes, and statistical summaries. Provides general office assistance, manages correspondence and records, and organizes meetings and training events. Offers guidance to junior staff and assists with data collection, analysis, and reporting for knowledge management and decision-making.
Work Experience
Requires a minimum of five years of experience in programme or project administration, technical cooperation, or a related field. Experience in budget monitoring, financial reporting, and organizing logistics for workshops/meetings is essential. Experience with the UN or similar international organizations, ERP systems, procurement support, asset management, and data analytics is desirable.
