The Division of Administration in New York offers administrative functions including finance and budget, and global financial operational services. This Finance Assistant role is situated within the OneEO Client Desk 4 of the Division of Administration in New York.
Job Purpose
The Finance Assistant supports the Division of Administration in New York, which provides essential administrative and financial operational services globally. This role contributes to the effective functioning of various UN entities by managing financial operations, including budget preparation, expenditure monitoring, and financial statement preparation. The position ensures compliance with financial regulations and procedures, supports budget reviews, and maintains financial databases. By assisting with data analysis and reporting, the Finance Assistant plays a key role in informed decision-making and the overall efficiency of financial management within the department, ensuring accurate and timely financial information is available.
Responsibilities
The Finance Assistant is responsible for a range of financial and budgetary duties. This includes preparing interim and final financial statements for trust funds, and supporting the finalization of cost estimates and budget proposals by preparing necessary documentation. The role involves monitoring expenditures against approved budgets, making necessary adjustments, and reviewing requisitions to ensure correct expenditure objects and fund availability. The Finance Assistant assists in preparing budget performance reports and analyzing variances. They also monitor the integrity of financial databases and extra-budgetary resources, ensuring compliance with UN regulations and procedures. Additionally, the role involves drafting correspondence on financial matters, maintaining files, and potentially guiding junior staff. Data collection, analysis, and preparation of reports and presentations are also key responsibilities.
Work Experience
A minimum of seven years of experience in finance, budget, accounting, or administrative services is required. This requirement is reduced to five years for candidates with a first-level university degree or higher. Experience with Umoja or a similar ERP system's Finance and Grants Management modules is essential. Experience in data analytics and managing extra-budgetary resources is desirable.
