Organizational Context
The United Nations Integrated Office in Haiti (BINUH) promotes political stability, good governance, and human rights. Established by Security Council resolution 2476, it supports dialogue and a stable environment. The Staff Assistant role is within the Office of the Special Representative of the Secretary-General (SRSG), reporting to the Chief of Staff.
Job Purpose
The Staff Assistant provides essential administrative and substantive support to the Chief of Staff within the Office of the SRSG. This role is crucial for managing priorities, workflow, and diverse activities to ensure timely execution of management directives. The incumbent will analyze data, manage communications, handle scheduling, and serve as a key liaison internally and externally. Responsibilities include independently managing complex inquiries, drafting correspondence, improving administrative procedures, overseeing support staff, organizing meetings and events, managing records, and processing various administrative duties. The position requires meticulous attention to detail in document control, proofreading, and report generation using standard office software.
Responsibilities
The Staff Assistant supports the Chief of Staff in administering the SRSG's office by managing priorities, workflow, and diverse activities to ensure timely delivery of products and decisions. Key duties include compiling and analyzing data, communicating directives and updates, and managing the Chief of Staff's schedule and priorities. The role involves serving as a primary liaison with senior officials, assisting visiting delegations with logistical arrangements, and screening/prioritizing correspondence. The Staff Assistant handles complex information requests, drafts responses, and establishes/improves administrative and filing systems. Additional responsibilities include overseeing and training office support staff, organizing meetings and receptions, preparing and classifying confidential information, managing mission records and archives, and processing various administrative tasks such as travel, expense statements, and requisitions. Quality control of outgoing documents, proofreading, report generation, and database management are also integral to the role.
Work Experience
A minimum of seven years of progressively responsible experience in administrative services or a related field is required. Previous experience within a UN entity is desirable. Experience with Enterprise Resources Planning (ERP) business process management software is also considered an advantage.
