Organizational Context
This position is within the Cameroon Nigeria Mixed Commission, a part of the UN Secretariat. The incumbent reports to the Senior Economic Affairs Officer / CNMC Program Manager, playing a key administrative support role within this specialized commission.
Job Purpose
The Administrative Assistant (FS-4) is responsible for providing comprehensive administrative support within the Cameroon Nigeria Mixed Commission. This includes managing human resources actions such as recruitment and staff administration, processing and monitoring budget and financial activities, and overseeing general administrative tasks. The role ensures consistent application of UN rules and procedures, supports financial planning and reporting, and coordinates administrative operations to facilitate the commission's objectives. The incumbent will also provide guidance and training to junior staff, ensuring efficient and effective administrative functioning.
Responsibilities
Manage human resources activities, including recruitment, staff administration, performance appraisals, and training, ensuring adherence to UN rules. Screen candidates, conduct preliminary interviews, and prepare candidate profiles. Respond to staff inquiries regarding administrative procedures and conditions of service. Oversee vacancy announcements and ensure compliance with policies. Assist in preparing and reviewing financial and human resource proposals, consolidating budgets, and monitoring expenditures against approved budgets. Review requisitions for goods and services, ensuring correct expenditure and fund availability. Draft correspondence, schedule meetings, and maintain administrative files. Coordinate with service units and internal teams. Perform other administrative duties such as managing travel plans, attendance records, and office space. Provide guidance and training to junior administrative staff.
Work Experience
A minimum of 6 years of progressively responsible experience in administrative services, finance, accounting, human resources, or related fields within the UN system or private sector is required. Experience with UN administrative/financial policies and practices, and ERP systems like UMOJA, is desirable.
