Organizational Context
This position is within the Office of the High Commissioner for Human Rights (OHCHR) New York Office (NYO). The incumbent reports to the Head of the Programme Management Unit, providing essential administrative and office support to the unit's operations and objectives.
Job Purpose
The Team Assistant provides comprehensive office support and administrative functions within the OHCHR New York Office. This role is crucial for ensuring the smooth operation of the Programme Management Unit by managing correspondence, documents, schedules, and logistical arrangements. The incumbent will support the unit's outputs, assist in research and information compilation, and maintain administrative records. Key contributions include ensuring compliance with requirements, facilitating meetings and events, and providing guidance to junior staff, thereby enabling the unit to achieve its objectives efficiently and effectively.
Responsibilities
The Team Assistant performs a wide range of office support and administrative functions. This includes managing correspondence, producing complex documents, and monitoring unit processes and schedules for compliance. The role involves researching and organizing information for reports and meetings, proofreading and editing texts, and screening calls and visitors. Additionally, the incumbent provides secretarial, administrative, and logistics support for meetings, events, and missions, assists with presentation materials, and takes notes. Maintaining calendars, processing mail, updating distribution lists, and coordinating shipments are also key duties. General administrative tasks, such as managing leave, reservations, and processing administrative requests like requisitions and travel, are integral. The role also includes maintaining files and databases, providing basic IT support, and guiding less experienced staff.
Work Experience
A minimum of three years of experience in general office support or a related area is required. Experience within the UN common system or a comparable international organization for at least one year is desirable.
