Finance and Budget Assistant
Organizational Context
This role is within the Field Operations Finance Division (FOFD) of the UN Secretariat's Department of Management Strategy, Policy and Compliance (DMSPC). OPPFB secures UN financing and ensures effective financial management. FOFD supports the Controller in managing resources for peace operations, focusing on efficiency and results-based budgeting in a dynamic environment.
Job Purpose
The Finance and Budget Assistant supports the Office of the Director, Field Operations Finance Division (FOFD) in managing UN financial resources. The role is crucial for preparing cost estimates, budget proposals, and performance reports, ensuring accuracy and compliance with UN financial regulations. It involves extracting and analyzing financial data, reconciling transactions, processing payments, and responding to queries. The assistant contributes to sound financial management and reporting for peace operations, supporting the Finance/Budget Officers in their duties and ensuring efficient operations within a dynamic environment.
Responsibilities
The Finance and Budget Assistant supports budget preparation by assisting with cost estimates, proposals, and performance submissions, including data extraction, preliminary analysis, and variance reporting. Responsibilities include developing resource requirements, consolidating data for budget reviews, and ensuring compliance with formatting and accuracy standards for reports. In finance, the role involves reconciling complex transactions, recording financial activities for various UN entities, and assisting with payment processing for goods and services, including calculations and verification. The assistant also handles routine correspondence, prepares memoranda, responds to queries, and provides administrative support, maintaining financial files and ensuring adherence to UN policies and procedures.
Work Experience
A minimum of seven years of experience in finance, budget, or administrative services is required. This is reduced to five years for candidates with a first-level university degree. Experience with spreadsheet, database, and word processing software is desirable, as is experience in a UN or similar international organization's front office, and with ERP systems like SAP.
