Job Purpose
The Shipping Assistant will support the UNECA Shipping Unit in managing inbound and outbound shipments for official goods, international staff personal effects, and vehicles. This role is crucial for ensuring efficient and accurate shipping services, maintaining duty-free privileges in compliance with host country agreements, and projecting a professional image for the office. The assistant will process shipments, advise staff on customs procedures, manage documentation, resolve delivery issues, and liaise with regulatory bodies, directly contributing to the smooth logistical operations of the Commission and its staff.
Responsibilities
Process all inbound and outbound shipments for official goods, international staff personal effects, and vehicles. Handle shipments for UN agencies and secretariats with Memoranda of Understanding (MoU) with UNECA. Maintain duty-free privileges according to host country agreements and UN Staff Rules. Facilitate clearance and delivery of conference and press equipment for meetings. Advise international staff on duty-free importation of household goods and vehicles. Assist staff with personal effects at government offices. Arrange necessary documentation and correspondence with regulatory bodies. Organize and maintain shipment files. Resolve issues related to delivered goods, including discrepancies and returns. Submit and follow up on import permits and release procedures with government bodies. Review forwarder invoices, storage, and demurrage charges, and secure credit notes. Attend meetings with regulatory bodies as needed.
Work Experience
A minimum of five years of progressively responsible experience in customs clearing processes is required. Experience in handling inbound and outbound shipments, particularly for international organizations or staff, is highly desirable.
