Organizational Context
The United Nations Economic Commission for Africa (ECA) aims to deliver transformative ideas and actions for Africa, aligning with the 2030 SDGs and Agenda 2063. The African Centre for Statistics (ACS), within ECA, focuses on enhancing data production, dissemination, and utilization to support evidence-based policymaking. This Team Assistant role is situated in the Office of the Director of ACS, reporting to the Senior Administrative Assistant.
Job Purpose
The Team Assistant provides essential administrative and office support within the African Centre for Statistics (ACS) at the UN Economic Commission for Africa (ECA). This role is crucial for the smooth operation of the Director's office, contributing to the ACS's mission of improving data quality and use for policymaking. The incumbent will manage correspondence, schedules, and logistical arrangements for meetings, ensuring efficient workflow and timely execution of tasks. By handling diverse administrative functions, including document processing, information management, and support for presentations, the Team Assistant directly facilitates the Centre's objectives in advancing Africa's development agenda through robust statistical insights and policy support.
Responsibilities
The Team Assistant performs a broad spectrum of office support and administrative functions. Key duties include drafting and responding to routine correspondence, managing and monitoring unit processes and schedules, and verifying the accuracy of documents. The role involves researching and compiling information for reports, screening calls and visitors, and responding to inquiries. Additionally, the Team Assistant provides secretarial, administrative, and logistical support for meetings, prepares presentation materials, and maintains calendars. Responsibilities extend to processing mail, updating distribution lists, coordinating shipments, and handling general administrative tasks such as preparing requisitions and travel requests. Maintaining both paper and electronic files, assisting with data collection and analysis for reports, and updating information materials are also integral parts of the role.
Work Experience
A minimum of three years of experience in general office support or a related field is required. Experience in data analytics or a related area for one year or more is considered desirable.
