Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides critical support to the Gang Suppression Force, the UN Integrated Office in Haiti, the Haitian National Police, and the Haitian Armed Forces. UNSOH also delivers technical assistance to the Organization of American States. This administrative role is situated within the Office of the Director of Mission Support in Santo Domingo.
Job Purpose
This administrative role supports the Director of Mission Support (DMS) within the United Nations Support Office in Haiti (UNSOH). The position is crucial for ensuring the smooth functioning of the DMS office and facilitating UNSOH's mandate to support various Haitian security forces and international organizations. The incumbent will manage a wide range of administrative, human resources, and financial tasks, ensuring compliance with UN rules and procedures. This includes coordinating high-level visits, managing correspondence, preparing reports, and liaising with various internal and external stakeholders to ensure efficient operations and effective support delivery.
Responsibilities
Manage the Director of Mission Support's calendar, appointments, meetings, and official correspondence. Coordinate high-level visits, protocol arrangements, and interactions with government officials and other stakeholders. Organize mission travel, visas, and security clearances. Prepare, draft, format, and track correspondence, reports, and meeting notes. Ensure smooth administrative operations within the DMS office, liaising with HR, finance, and procurement. Coordinate with Mission Support Sections to consolidate and facilitate requests requiring the DMS's attention. Monitor and follow up on requests to ensure timely implementation and communication of decisions. Maintain confidential records and handle sensitive information discreetly. Provide guidance and supervision to other staff. Assist in drafting agreements and resolve administrative issues. Perform other related administrative duties as required.
Work Experience
A minimum of 8 years of progressive experience in administrative services, finance, accounting, human resources, or audit is required, with at least 3 years in a supervisory capacity. Experience working in the front office of a senior UN official and UN field mission experience or similar international field experience are also required. Experience in international operations in a post-conflict environment is desirable.
