Organizational Context
The Executive Office of the Secretary-General (EOSG) supports the Secretary-General's vision and priorities, ensuring alignment across the UN system. It emphasizes efficiency, competence, integrity, and diversity. This role is within the Sustainable Development Unit of the EOSG, reporting to the Deputy Director.
Job Purpose
The Programme Management Assistant supports the Deputy Director and the Sustainable Development Unit in coordinating meetings, events, and activities. This involves managing workflows, tracking deadlines, and ensuring timely document submission. The role contributes to the planning and implementation of unit activities and project initiatives. It requires researching, analyzing, and presenting data on sustainable development, drafting correspondence, and assisting with budget proposals and administrative tasks. The incumbent will also maintain records, prepare reports, and provide support for intern recruitment, acting as a backup for other unit staff as needed to ensure smooth operations and effective information sharing.
Responsibilities
Key responsibilities include supporting the scheduling and coordination of meetings, events, and activities for the Deputy Director and the Unit, while monitoring processes and deadlines. The role involves assisting in the planning and implementation of unit activities and project initiatives. This includes researching, analyzing, and summarizing information and data related to sustainable development. The incumbent will process mail, draft correspondence, and contribute to reports. Administrative duties encompass managing files, preparing budget proposals, coordinating submissions, and maintaining databases. Additionally, the role involves organizing events, managing procurement, processing administrative requests, and providing backup support for other unit staff.
Work Experience
A minimum of seven years of progressively responsible experience in programme or general office administration is required. Experience in researching, analyzing, and presenting data is desirable. Experience in event planning, preparation, scheduling, and coordination is also desirable, as is proficiency with Microsoft Suite (Word, Excel, PowerPoint, SharePoint).
