Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides support to the Gang Suppression Force (GSF), UN Integrated Office in Haiti (BINUH), Haitian National Police (HNP), and Haitian Armed Forces, as well as technical assistance to the Organization of American States (OAS). This Protocol Assistant role is based in the UNSOH Santo Domingo office and reports to the Chief Operation and Resources Management (CORM).
Job Purpose
The Protocol Assistant supports the Chief Operation and Resources Management (CORM) in arranging meetings, managing protocol duties for senior officials, and processing multi-level visas for personnel and visitors. This role involves liaising with the Dominican Republic government and diplomatic community to facilitate appointments and official events. The assistant also aids in organizing travel for senior staff, including airport formalities and visa processing. Additionally, the position supports logistical requirements for ceremonies and protocol tasks, assists with personnel rotation and repatriation, and manages official correspondence and information archives. The role is crucial for ensuring smooth diplomatic and operational interactions for UNSOH and its supported entities.
Responsibilities
Arrange meetings between UNSOH officials and local authorities, and perform protocol duties for leadership. Process and follow up on multi-level visas for UNSOH personnel, GSF, VIPs, and delegations. Liaise with the Dominican Republic government and diplomatic community regarding appointments and meetings. Communicate with the State Protocol during official events attended by senior leadership. Facilitate travel arrangements for senior staff, including airport and immigration formalities. Prepare seating arrangements for ceremonies and conferences. Support logistical requirements for protocol tasks and ceremonies. Collaborate with Mission Support sections for personnel rotation and repatriation, including visa issuance. Manage incoming/outgoing official documents, maintain a database of transactions, and update administrative archives. Maintain an up-to-date mailing list and contact information for government officials and diplomatic missions.
Work Experience
A minimum of eight years' experience in protocol, public information, diplomacy, coordination, administration, or related fields is required. Experience supporting high-level visits is also required. Experience within a UN field operation or similar international organization in a conflict/post-conflict setting, event organization, and database management is desirable.
