Organizational Context
This Programme Management Assistant position is within the Office of the United Nations High Commissioner for Human Rights in Geneva. The role reports to the Chief of the Rule of Law and Democracy Section, within the Rule of Law, Accountability and Civic Space Branch, Thematic and Special Procedures Division.
Job Purpose
The Programme Management Assistant provides crucial support for the planning, coordination, and implementation of programmes and projects within the Office of the High Commissioner for Human Rights. This role involves monitoring project proposals, ensuring compliance with procedures, and managing administrative aspects of project execution. The assistant will liaise with various units to facilitate actions such as personnel recruitment, travel arrangements, and procurement. Additionally, the position contributes to financial oversight by reviewing budgets and tracking project delivery, drafting reports, and maintaining essential project documentation. The role also encompasses general office support, information management, and assisting with data analysis and presentation to aid in decision-making and knowledge sharing.
Responsibilities
Key responsibilities include coordinating programme and project planning, monitoring proposals, and ensuring documentation compliance. The role involves reviewing project documents and budgets for accuracy and adherence to rules, and processing budget revisions. The assistant will act as a liaison for administrative coordination of project implementation, managing actions like personnel appointments, travel, and payments. Responsibilities extend to compiling project delivery data, drafting status reports, and identifying potential issues. The position also entails drafting budget-related correspondence, preparing reports and summaries, and providing general office assistance, including managing correspondence, files, and organizing meetings. Furthermore, the role includes providing guidance to junior staff and assisting with data collection, analysis, and visualization for reporting and decision-making.
Work Experience
Requires five years of experience in programme or project administration, technical cooperation, or a related field. Experience in budget/cost planning, preparing travel arrangements, and project management is essential. Proficiency with an Enterprise Resource Planning (ERP) system like Umoja is also required. Experience within the UN common system or a similar international organization is desirable.
Skills
