Organizational Context
This position is within the Human Rights Council and Treaty Mechanisms Division of the Office of the High Commissioner for Human Rights (OHCHR) in Geneva. The role is part of the Least Developed Countries (LDCs) and Small Island Developing States (SIDS) Trust Fund Secretariat. The incumbent reports to the Trust Fund Coordinator, under the overall guidance of the Chief of the Human Rights Council Branch.
Job Purpose
The Programme Management Assistant provides essential secretarial, administrative, and logistical support for the LDCs/SIDS Trust Fund, facilitating the participation of these states in the Human Rights Council's work. This involves managing office functions, organizing meetings (virtual and in-person), updating web content, and coordinating programme planning. The role supports the effective implementation of trust fund activities by liaising with various units, processing administrative actions, and monitoring project delivery. The assistant compiles and presents data, drafts reports, and handles general office duties, contributing to the efficient operation of the Secretariat and the achievement of its objectives.
Responsibilities
Provide comprehensive secretarial, administrative, and logistical support for the LDCs/SIDS Trust Fund, including managing UMOJA travel requests and organizing virtual and in-person meetings. Update Trust Fund webpages in English and French. Assist in coordinating programme and project planning, monitoring proposals, and reviewing project documents for compliance. Compile, summarize, and present programme/project data and draft status reports. Review budget revisions, verify fund availability, and ensure proper entry into the budget system. Act as a focal point for administrative coordination of project implementation, liaising with organizational units for recruitment, travel, payments, and procurement. Draft correspondence on budget issues, prepare periodic reports, and provide general office assistance, including managing correspondence and files. Support Human Rights Council meetings using digital tools and provide guidance to junior staff. Assist in data collection, analysis, and preparation of presentations and reports.
Work Experience
A minimum of five years of experience in programme or project administration, technical cooperation, or a related field is required. This is reduced to three years for candidates with a first-level university degree. Experience with ERP systems like UMOJA and organizing meetings/travel is desirable.
