Organizational Context
The United Nations Office for Digital and Emerging Technologies (UNODET), established in 2025, advises senior leadership on technology trends, advocates for digital cooperation, and facilitates multi-stakeholder policy dialogue. It strengthens system-wide coordination and supports the Global Digital Compact. The office leads the implementation of the Secretary-General's vision on digital cooperation, working with various entities to leverage technology's opportunities while mitigating risks for achieving the 2030 Goals. This role is based in New York and reports to the Associate Programme Management Officer.
Job Purpose
The Team Assistant role within the United Nations Office for Digital and Emerging Technologies (UNODET) is crucial for providing comprehensive office support and administrative functions. This position directly contributes to the efficient operation of the office, which is mandated to advise on technology trends, foster digital cooperation, and implement the Global Digital Compact. The Team Assistant will manage correspondence, prepare documents, organize information, and provide logistical support for meetings and events. By ensuring smooth administrative processes, the role enables the UNODET team to focus on its strategic objectives of guiding the UN's approach to technology, engaging stakeholders, and accelerating global digital cooperation. This support is vital for mitigating technological risks and advancing progress towards the 2030 Goals, aligning with the Secretary-General's vision for digital cooperation and the "Our Common Agenda" report.
Responsibilities
The Team Assistant will perform a wide range of office support and administrative functions, including drafting and responding to routine correspondence. Responsibilities include managing processes and schedules, verifying document accuracy and compliance, and researching/compiling information for reports and meetings. The role involves proofreading and editing documents, providing secretarial and logistical support for meetings and conferences, and assisting with website maintenance and presentation material preparation. Key duties also include maintaining calendars, performing data entry and extraction, processing mail, and handling general administrative tasks such as travel arrangements, requisitions, and budget follow-up. Furthermore, the Team Assistant will maintain office files and databases, provide basic software and equipment support, and guide less experienced staff on office procedures.
Work Experience
A minimum of three years of general office management or administrative support experience is required. This includes experience in areas such as managing supplies, coordinating IT/facilities requests, supporting HR processes, drafting correspondence, maintaining records, or providing logistical support. One year of experience is sufficient with a first-level university degree. Experience within an international organization, government, or multinational company is required, as is experience with administrative systems like ERPs. Familiarity with digital cooperation or emerging technologies is also required.
Skills
