Meeting Management Attendant
Organizational Context
The United Nations Secretariat, specifically the Economic and Social Commission for Western Asia (ESCWA), seeks a Meeting Management Attendant. This role is within the Conference Management Section (CMS) of the Resource Management and Service Development Division (RMSDD). The attendant will report to the Chief of the Conference Management Section and support the smooth operation of meetings and events.
Job Purpose
The Meeting Management Attendant is responsible for ensuring the optimal and timely provision of conference services in accordance with UN standards. This role directly contributes to the smooth execution of ESCWA meetings and events, ensuring satisfaction for both organizers and participants. By managing logistical aspects and providing on-site support, the attendant enables substantive offices to effectively fulfill their mandates. The position plays a crucial part in the overall efficiency and success of intergovernmental meetings and conferences hosted by ESCWA, facilitating seamless operations and participant engagement.
Responsibilities
Monitor meeting requests and book necessary rooms and services. Assist with cost estimates and related portal functions. Support the development of cost-estimating tools. Enter data for interpreters into the e-APG system. Aid in preparing preliminary lists and annotating agenda items. Prepare and distribute official documentation and reference materials. Organize and distribute participant lists and invitations. Escort participants and distribute speeches and conference papers. Manage stationery supplies and provide on-site assistance to delegates. Coordinate with interpreters and sound technicians, and support the Chair's needs. Assist with coffee break arrangements and the information desk. Distribute water during meetings and perform general office management tasks. Prepare conference rooms by setting up nameplates according to seating protocols and ensuring the room is ready. Assist in the management and coordination of specific events like ASMEs 2026. Collect and store conference items post-meeting.
Work Experience
A minimum of one year of experience in conference services, meeting services management, or a related field is required. Experience within the United Nations or another multinational/international organization is considered desirable.
