This role is within the UN Resident Coordinator's Office in Beijing, China, reporting to the Head of Office and under the overall leadership of the UN Resident Coordinator, contributing to the UN 2.0 shift.
Job Purpose
This Administrative Assistant role supports the UN Resident Coordinator's Office in Beijing, China, contributing to the effective functioning of the UN Development System as part of a global reform initiative. The incumbent manages human resources actions, including recruitment and staff entitlements, oversees budget and finance processes, and handles general administrative tasks. Responsibilities also include contract administration, data analysis, and potentially supervising junior staff. The role ensures administrative operations align with UN rules and procedures, supporting the office's mandate to achieve development priorities and Sustainable Development Goals.
Responsibilities
Manage human resources activities, including recruitment, staff entitlements, and personnel actions, ensuring compliance with UN rules. Oversee budget and finance functions, assisting with proposal preparation, expenditure monitoring, and financial reporting. Provide general administrative support, drafting correspondence, coordinating with service units, and managing office resources. Administer contracts with external vendors, process invoices, and manage payments. Assist with data collection, analysis, and reporting, including visualizations and updating information materials. May supervise junior staff and act as a security focal point.
Work Experience
A minimum of seven years of progressive experience in administrative services, finance, accounting, audit, or human resources is required. Experience with an Enterprise Resources Planning (ERP) system, the UN, or similar international organizations is desirable. One year or more of experience in data analytics is also desirable.
Skills
Proficiency in administrative functions (budget, HR, database management), UN rules and regulations, data analysis, modeling, and interpretation. Strong planning, organizing, and client orientation skills. Ability to work efficiently, meet deadlines, and remain calm under pressure. Commitment to gender equality.
