Human Resources Assistant (Temporary)
Organizational Context
This position is within the Staff Entitlements Unit (SEU) of the Human Resources Management Service (HRMS) at the United Nations Office at Vienna (UNOV) / United Nations Office on Drugs and Crime (UNODC). The role reports to the Senior Human Resources Assistant, contributing to the Division for Management's HR functions in Vienna, Austria.
Job Purpose
The Human Resources Assistant supports the Staff Entitlements Unit by administering benefits and entitlements, processing requests, and maintaining accurate data in Umoja for staff in Vienna and field offices. This role involves advising separating staff on procedures and entitlements, managing HR systems and databases, and preparing reports. The incumbent will act as a focal point for staff and offices on HR matters, communicate with financial services, conduct research, and provide general office support. Additionally, the role includes preparing correspondence, maintaining records, scheduling, training junior staff, and assisting with data analysis and information material updates.
Responsibilities
Key duties include the administration of benefits and entitlements, processing requests, and maintaining accurate entitlement data in Umoja for staff in Vienna and field offices. The role involves advising separating staff on procedures and entitlements and assisting with final arrangements. Responsibilities also include maintaining HR automated systems, applications, and databases, and preparing periodic reports. The incumbent will serve as a focal point for staff and offices on salary, allowances, and HR-related matters, liaising with the Financial Resources Management Service. Additional duties encompass research on HR issues, preparation of notes/reports, general office support, processing correspondence, maintaining files, scheduling, and training new staff. The role also supports data collection, analysis, presentation, and updating information materials.
Work Experience
A minimum of seven years of progressive experience in human resources management or staff administration is required. This is reduced to five years for candidates with a first-level university degree. Experience in administering employee benefits and entitlements is essential. Experience with an Enterprise Resource Planning (ERP) system is required, with SAP/Umoja experience being desirable. Experience within the UN system or a similar international organization is also desirable.
