Job Purpose
The Administrative Assistant provides essential support to the UN Resident Coordinator's Office (RCO) for DPR Korea, based in Bangkok. This role is crucial for the effective and efficient functioning of the RCO, contributing to the achievement of national development priorities and the Sustainable Development Goals. The incumbent manages administrative, financial, and human resources functions, ensuring compliance with UN rules and procedures. Key responsibilities include processing personnel actions, managing budgets, preparing financial reports, drafting correspondence, coordinating with service units, and administering contracts. The position supports the overall mission of the UN Development System reform by ensuring operational efficiency and facilitating the RCO's mandate.
Responsibilities
Manage human resources activities, including recruitment, staff entitlements, and personnel actions processing, ensuring adherence to UN rules. Oversee vacancy announcements and maintain staffing tables with relevant data. Support budget preparation and review, monitor expenditures against approved budgets, and prepare financial reports. Draft routine correspondence, coordinate with internal and external service units, and manage vendor payments. Administer contracts with external service providers, audit invoices, and process payments. Assist in organizing meetings and events, and maintain office equipment and systems. May guide and train junior staff. Collect and analyze data for reporting and decision-making, and update information materials.
Work Experience
A minimum of seven years of progressive experience in administrative services, finance, accounting, audit, or human resources is required. This is reduced to five years for candidates with a first-level university degree. Experience with ERP systems (e.g., Umoja), the UN, or similar international organizations is desirable. Experience in data analytics is also a plus.
