Job Purpose
The Administrative Analyst will provide essential support for the implementation of UN-Habitat projects in Brazil, reporting to the Head of the Brazil Office. This role is crucial for ensuring the smooth execution of project activities, facilitating communication with local counterparts, and maintaining administrative and financial compliance. The position contributes to UN-Habitat's mission of transforming cities into safer, more inclusive, and resilient places by supporting the operational aspects of its urban development initiatives in Brazil. The role requires close collaboration with operational and technical teams to achieve project objectives over an expected ten-month period.
Responsibilities
The Administrative Analyst is responsible for providing comprehensive administrative support to UN-Habitat projects in Brazil. Key duties include supporting project activities, facilitating communication with local partners (governments, civil society, private sector), and ensuring adherence to established guidelines. This involves organizing and documenting meetings, forums, and training events. The role also entails collecting and archiving project-related data and documents, managing correspondence, and assisting with administrative and financial compliance checks. Additional responsibilities include maintaining office inventory, requesting quotes for acquisitions, writing official letters, and supporting personnel selection processes, including scheduling interviews and managing candidate communications. The analyst will also assist with consultant report processing, event organization, travel arrangements, and maintaining organized project information and databases.
Work Experience
A minimum of four years of experience in administrative, secretarial, project management, operational, or human resources activities within Brazil is required. Experience working with local governments, civil society, or advocacy initiatives is desirable. Familiarity with urban development, climate issues, and UN System experience are also considered advantageous.
Skills
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) is required. Mastery of technological tools, software, and online platforms is necessary. Knowledge of project management methodologies is desirable. Strong communication, planning, organization, professionalism, and teamwork skills are essential.
