Organizational Context
The Economic Commission for Latin America and the Caribbean (ECLAC), a regional commission of the United Nations, contributes to the economic and social development of the region. This role is situated within the Office of the Executive Secretary, reporting directly to the Executive Secretary, and supports policy development, advisory services, and international cooperation efforts.
Job Purpose
The Senior Staff Assistant provides comprehensive administrative and secretarial support directly to the Executive Secretary of ECLAC. This role is crucial for ensuring the efficient operation of the Executive Secretary's office by managing communications, schedules, confidential information, and travel arrangements. The position also involves supervising general service staff, coordinating with various divisions, and assisting with data analysis and report preparation. The incumbent plays a key role in facilitating the Executive Secretary's work, supporting decision-making processes, and ensuring smooth information flow within the organization and with external stakeholders.
Responsibilities
Provide guidance, training, and supervision to general service staff within the Executive Secretary's office, including overseeing secretarial tasks and performance input. Manage and screen all incoming correspondence and communications for the Executive Secretary, ensuring accuracy, proper approvals, and timely distribution. Handle confidential information, including preparation, processing, and classification. Provide direct support for the Executive Secretary's schedule and make necessary travel arrangements. Maintain office files, records of speeches, presentations, and documents. Coordinate extensively with ECLAC divisions and internal teams, and liaise with external parties. Assist with data collection, analysis, and preparation of presentations and reports. Attend meetings as required, gathering relevant information and coordinating press activities. Perform other administrative duties as needed.
Work Experience
A minimum of ten years of experience in administrative services, finance, accounting, audit, or human resources is required. This requirement is reduced to eight years for candidates with a university degree. Experience in protocol matters is essential. Experience working with high-level officials and within an international or governmental organization's executive office is desirable.
