RECEIVING AND INSPECTION ASSISTANT
Organizational Context
The United Nations Support Office in Haiti (UNSOH) provides support to various Haitian entities and international organizations, as mandated by Security Council resolution 2793 (2025). This temporary role is within the Centralized Warehouse Section in Port au Prince, reporting to the Chief of Section. The Assistant directly supports the Chief Supply Chain Management Service and the Chief Centralized Warehouse Section.
Job Purpose
The Receiving and Inspection Assistant (R&I) is responsible for the physical entry, quality control, and system registration of all incoming assets, equipment, and commodities for the UN Support Office in Haiti (UNSOH). This role involves managing the receiving and inspection of consignments, verifying them against purchase orders and contracts. The Assistant liaises with logistics units to track shipments, conducts quality and quantity inspections, documents discrepancies, and processes receiving reports in the Umoja system. Additionally, the role provides evidence for contract performance evaluations, maintains audit trails, and supervises unit staff, ensuring efficient and accurate management of incoming goods within the mission.
Responsibilities
Manage the receiving and inspection of all incoming consignments, verifying quantity, specifications, and condition against purchase orders and contracts. Liaise with Movement Control and Transport Units to track arrival schedules for mission cargo, vendor deliveries, and inter-mission transfers. Conduct and oversee quality and quantity inspections, identifying, documenting, and reporting discrepancies, shortages, surpluses, and damages. Manage rejections and support claims processes. Process receiving and inspection reports and goods receipts in Umoja within target timelines. Provide evidence for contract performance evaluations by Procurement and Acquisition. Maintain the audit trail and internal control discipline of the goods-in process. Supervise and develop Unit staff. Perform other duties as requested by the supervisor.
Work Experience
A minimum of 8 years of experience in property management, inventory control, logistics management, or a related field is required. Experience in a UN Common System field operation or comparable international organization is desirable, as is experience with ERP database administration.
