Programme Management Assistant
Organizational Context
This Programme Management Assistant position is within the Human Rights Service of the United Nations Assistance Mission in Afghanistan (UNAMA). Based in the UNAMA Regional Office in Gardez, the role reports to the Human Rights Officer/Team Leader, with guidance from the Senior Human Rights Officer. The position supports the operational functions of the Human Rights Service.
Job Purpose
The Programme Management Assistant provides essential office support and administrative functions for the Human Rights Service in Gardez. This includes managing correspondence, producing complex documents and reports, and monitoring team outputs to ensure compliance with requirements. The role involves researching and organizing information for various outputs, assisting with data collection and analysis for human rights monitoring, and preparing presentations. Additionally, the incumbent will manage schedules, process mail, maintain electronic filing systems, and provide guidance to less experienced staff. Translation and interpretation services may also be required, contributing to the overall efficiency and effectiveness of the human rights mission.
Responsibilities
Perform a wide range of office support and administrative functions, including responding to correspondence and producing complex documents and reports using standard word processing software. Monitor, process, and schedule team outputs, verifying document accuracy and compliance with legal and financial requirements. Research, compile, and organize information and reference materials for reports, work plans, and meetings. Assist in collecting and analyzing human rights monitoring data, preparing presentations and reports. Update and maintain information materials, generate statistical reports, and proofread documents for accuracy and adherence to standards. Respond to information requests, assist in preparing presentation materials, and manage calendars and schedules. Perform data entry and extraction, process mail, and maintain electronic filing systems. Provide guidance to junior staff on office procedures and applications, and perform translation and interpretation as needed.
Work Experience
A minimum of three years of general office support or related experience is required. This minimum is reduced to one year for candidates with a first-level university degree. Experience in administrative support, database management, electronic filing, and Microsoft Office applications is essential. Desirable experience includes research and compilation of information for reports and meetings.
